The Mail Services Operations Coordinator reports to the Manager of Mail Services. You will manage the oversight and management of the front end of the Mail Services department, facilitating the mailing and shipping needs of the University community, including all faculty, staff, and students. The Operations Coordinator will hire, train, and supervise student mail clerks, establish process, and oversee daily operations for the customer service window and daily shipping and receiving of mail and packages. The Operations Coordinator must fulfill multiple roles independently and can seek and find answers using the proper channels and resources available under time constraints and stressful conditions. Also, the mail services operations coordinator will assist/oversee the daily operations of the University switchboard. You will be on-site, located at our Manchester, NH Campus.
What you'll do:
- Hire, train and oversee 8+ student mail clerks.
- Set schedule to ensure coverage and overlap during busy periods.
- Monitor and approve timesheets for student mail clerks, following payroll budget.
- Responsible for the oversight and management of the front end of the Mail Services office including receiving, sorting, and processing of incoming and outgoing University mail and packages.
- Be an expert in mail industry software and equipment including Federal Express and other carriers' domestic and internationals shipping systems, Pitney Bowes' SendSuite, and Pitney Bowes mail meters. Also work with internal systems including Banner, Workday, and Housing Director databases to research questions and issues.
- Professional customer service for faculty, staff and students coming to the counter, including answering questions, retrieving packages, stamp sales, mailing of letters and packages.
- Independently research and troubleshoot questions, issues and mail/package returns.
- Back-up the driver team by assisting with deliveries and pick-ups, on and off campus.
- Maintain safe and compliant working environment.
- Perform general office responsibilities including copying, scanning, emailing, and answering the phone.
- In absence of Manager, act as leader for the team with question and issue escalation. Be responsible for delegations sent to them.
- Oversee the daily operations of the University switchboard and ensure messages are routed.
- Oversee student mailbox assignments, including documentation, updates, and sharing mailbox information with proper departments.
- Oversee mail forwarding and summer mailbox assignments.
- Develop ways to maximize operational efficiencies by evaluating mail routes, optimizing carrier delivery and analyzing department mailings.
- Oversee ordering of all mailroom shipping and office supplies
- Maintain a knowledge of current domestic and international postal and shipping regulations for all carriers. These regulations change and keeping up to date on current compliance is important.
- Be a liaison with USPS, Federal Express, private carriers, Pitney Bowes, and other suppliers.
- Evaluate mailing equipment, software, and services to bring forth best practices and efficiency opportunities.
- Conduct trainings on new mail equipment and technology.
- Collaborate with University departments on mailings and shipments to ensure regulations are followed, maximum discounts are obtained, and efficiencies are accomplished.
- Handle sensitive and complex requests, often simultaneously, to ensure customer service for Admission, Registrar, Marketing the President's Office, and other critical University departments.
- Assist the Manager with the creation and maintenance of departmental databases and web pages.
- In collaboration with the Manager and analyze Mail Services operations to recommend and implement procedural and technological changes, resulting in improved services, efficiency, and reduced costs.

What we're looking for:
- 2+ years of experience mailroom experience, administrative or similar with similar responsibilities.
- High School Diploma or GED equivalent.
- Customer service experience in a service related role or industry.
- Experience scheduling and following a payroll budget.
- Credit card handling skills.
- Knowledge of Federal Express and Pitney Bowes SendSuite software, Pitney Bowes mail meter equipment, Power BI and Excel.
- Valid driver's license and ability to pass SNHU's driver's policy.
- Ability to lift packages up to 60 lbs.
Additional experience:
- Associate's Degree or Bachelor's Degree.
- Previous experience working in a college campus setting in an administrative function.
- Previous experience supervising temporary, part time or full-time staff.

Compensation
The hourly pay range for this position is $15.41 - $24.67. Actual offer will be based on skills, qualifications, experience and internal equity, in addition to relevant business considerations. We expect this position to be hired in the following target hiring range $17.02 - $23.05.Exceptional benefits (because you’re exceptional)
